5 Reasons to Go Paperless Part I

How Will Going Paperless Benefit Me?

I have written several posts about having a paperless office. I am going to give you some reasons why you should do it and some tools to help you accomplish it. Let’s look at the reasons:

  1. file cabinetYou will be able to access records faster and service your clients better. A recent Price Waterhouse study required a paralegal to find 20 documents out of 20,000 filed. After 67 hours of searching, the paralegal found 15 of the requested 20 documents. Given the same task, an optical imaging system found all 20 documents in less than 3 seconds.
  2. You will be providing your firm with a backup disaster plan. Because you have your records stored online, if something happened at your physical location -flood, fire, hurricane, etc. - you would not loose all your data.
  3. Save money on paper costs and ink. Paper costs approximately $4.00 per ream.  How many reams of paper do you go through in a year?  How much ink?
  4. You will be freeing up space for more productive usage. A lateral 4 drawer file cabinet takes up approximately 9 square feet and a 4 drawer vertical almost 6 square feet. How many file cabinets do you have? How much are you paying per square foot in rent?
  5. You can have access to your files from any computer or smart-phone. If you are out in the field or at home, you are fully connected.
